We collect the following categories of information:

• Account and contact information: names, work email addresses, organization or agency affiliation, job title or role, and similar details provided when an account is created or a program is joined.
• Program and compliance data: the project, material, Environmental Product Declaration (EPD), and compliance information that users submit to or generate within the platform. This data belongs to the customer and is described in our Terms of Service.
• Usage and device information: standard technical information such as IP address, browser type, device information, pages accessed, and activity within the platform, collected through logs to operate and secure the service.
• Analytics: we use limited analytics to understand how the platform and website are used so we can maintain and improve them.

We use personal information to:

• Provide, operate, maintain, and support the platform and website
• Authenticate users and manage accounts and access
• Communicate about the service, including account, support, and administrative messages
• Send occasional marketing or newsletter communications, which you can opt out of at any time
• Monitor, secure, and improve the platform
• Comply with legal obligations

We do not sell personal information, and we do not share it for others' marketing purposes. We keep sharing to the minimum needed to run the service, and only in these limited cases:

• With service providers that host and operate the platform on our behalf, under obligations to protect the information and use it only to provide the service
• Within a program, with the organization or agency administering that program, for users who are already participants in it
• When required by law, or to protect the rights, safety, or property of BuiltCold or others

Outside of these limited cases, we do not share your personal information.

Program and compliance data submitted to the platform is owned by the customer. BuiltCold processes it on the customer's behalf to provide the service, and handles it in accordance with our Terms of Service and any applicable agreement. Customers are responsible for the personal information they submit about their own users and contacts.

We retain personal information for as long as needed to provide the service, maintain business records, and meet legal obligations. On termination, and on request, we return or delete customer data subject to any retention required by law. You may request deletion of your personal information at any time.

We maintain administrative, technical, and physical safeguards appropriate to the information we process, including access controls, monitoring, and personnel security measures. No system is completely secure, but we work to protect personal information against unauthorized access, use, or disclosure. Additional detail is available in our security documentation on request.

You may access, correct, or request deletion of your account information, subject to legal or contractual retention requirements, by submitting a privacy request. You may opt out of marketing communications at any time. Depending on your jurisdiction, you may have additional rights regarding your personal information, and we will honor those rights as required by applicable law.

The platform is intended for use by organizations and their personnel in a professional capacity and is not directed to children. We do not knowingly collect personal information from children.

We may update this Privacy Policy from time to time. Material changes will be communicated through the platform or website or by other reasonable means, and the effective date above will be updated.
